Creating a Matrix Budget

Overview

On the Financial Modeling screen, it is possible to use the Matrix Budget in order to create detailed budgets, segmented by tags and their categories. By unfolding a tab in the Financial Modeling, the budget structure can be replicated and detailed in accordance with the defined structure. It is also possible to have a general view that unites the detailed budget data into a complete and systemic view, enabling greater autonomy for the parties responsible for filling out the derived tabs as well as greater control for the original tab manager, in which the unfolding was applied.

For the Tabs Manager:

All the unfolded tabs that were deleted shall lose all the premises created before the unfolding.

Creating a Matrix Budget

On the Financial Modeling screen, click on (down arrow) on the right-hand side of the nomenclature of its tab.

Afterwards, select “Unfold Tab” on the options menu.

Adding Tags

  1. Select the tags category that shall unfold:
    Select the category allocating the tags that shall be associated to the unfolded tabs.
    For instance, if you want a tab by Costs Center tag, select the Costs Center category.
  2. Add all the tags of the category:
    Make your selection in order to add all the category tags at the same time in the Matrix Budget, assigning as responsible at each tab all the people that have permission of the respective tag.
  3. Add specific tags:
    Select this option if you want to designate a few people to have access to a certain tab, or a few tags so that a certain person can have access to.
  4. Select the tags from each user:
    Choose which user can view and edit each tab.
  5. Select the deadline for filling out:
    To select the maximum deadline for filling out each tab, choose “Define deadline for filling out”.
  6. Add tags:
    Click in Add tags so that the Matrix Budget configurations are displayed on the lateral panel, having a management view of the tags to be unfolded.
    To view the tabs that you unfolded, click on the 3-line icon to the right of the tab name and select the tabs that you want to open.

Managing the unfolding

On the Financial Modeling screen, click on the button to the right-hand side of the nomenclature of your tab with active Matrix Budget, and then select “Manage unfolding”.

Mass actions

To carry out mass actions, fill out the square on the upper left part of the screen. The actions that are possible to be carried out are:

  1. Change status
  2. Alter deadlines for filling out
  3. Indicate change of deadlines
  4. Block filling out and management of unfolded tabs
  5. Delete tags and related tabs.

Individual actions

Possible actions to be carried out on each tab are as follows:

  1. Change status
  2. Select the unfolded tab as favorite (up to 10 tabs)
  3. Edit tags, responsible parties and deadline
  4. Block filling out and management of unfolded tabs
  5. Delete tags and related tabs.

For the Filling User:

The filling user can only be attributed to a tab after the accesses to the scenarios and tags of the given tab have been released.

After the filling assignment, the associated filling user shall have the following viewing of the Financial Modeling category:


 And he/she shall receive an e-mail notifying him/her of need for filling out.

The tab status changes automatically after the beginning of the filling out from Pending to Performance, which can be changed in accordance with the following descriptions:

Pending (administrator)

Just after the modeling administrator creates the unfolding, the tab of the unfolded tag shall be Pending.

Performance (filling user)

As soon as the party(ies) responsible for the tags start the filling out process, they must indicate the status as In Progress.

Validation (filling user)

After filling out the amounts of his tab, the party responsible must indicate to the modelling administrator that he must validate the task. By doing so, the party responsible shall no longer be able to edit the tag.

Finalized (administrator)

Once the data filled out by the party responsible are validated, it falls to the modeling administrator to consider the process closed.
